An AI receptionist that answers every call, day or night.

Work out what one job is worth to you, then how many calls went unanswered last week. That is the arithmetic, and for most service businesses the second number costs more than answering them would.

The short answer

What is an AI receptionist, and how does it work?

It answers your phone in a natural voice, then books the appointment.

An AI receptionist is voice software that picks up your calls, understands what the caller wants, answers the questions you would answer, takes their details and books them into your calendar. It works from your services, hours, prices and booking rules rather than from general knowledge.

It is not the same as a virtual receptionist service, where a person in a call centre answers on your behalf. Both solve the same problem. The differences are cost, capacity and judgement, and the comparison below goes through all three honestly.

The arithmetic

What a missed call actually costs you

Four numbers, and you can do this in a minute on the back of an envelope. We are not going to tell you what a missed call is worth, because it is different for every business and you already have the inputs.

1
What is one new customer worthOver the whole relationship rather than the first invoice. For most service businesses that is a bigger number than people first say.
2
How many callers become customers when you do answerThat is your close rate on inbound calls, and your phone system or your diary will tell you.
3
Multiply those twoThat is what one answered call is worth on average.
Now count last week's missed callsYour phone system knows. Multiply.

For most service businesses the fourth number is larger than the cost of answering them, which is the entire commercial case for this page. If it is not larger for you, we will tell you on the call.

What's included

What the AI receptionist actually does

Configured around your services and your booking rules, then tuned against real calls rather than assumptions.

Natural voice answering

Call answering in a natural voice, on the first ring.

Trained on your business

Your services, hours and pricing rules trained in.

Calendar-synced booking

Appointment booking synced to your calendar.

Details captured

Caller details captured and logged, so nothing is retyped.

Transcripts you can read

Call transcripts and recordings you can read.

Escalation rules

Escalation to a human on the topics you choose.

After-hours coverage

After-hours and overflow routing.

Confirmations & reminders

Confirmation and reminder messages.

Virtual receptionist services and an automated answering service solve the same brief in different ways. This is the version that never queues, never takes a break and charges the same whether you get four calls or four hundred.

The same assistant handles messages as well as calls. See chat for your website and social inboxes.

Who it's for

Where this fits, and where it does not

Trades and home services

Where the person who would answer the phone is the person doing the work, and cannot stop to take a call.

Practices and clinics

Dental, medical and legal, where the front desk is busy with the people standing in front of it.

Anyone comparing against a hire

Businesses weighing this against a live virtual receptionist or a decision to outsource receptionist duties to a call centre.

Where this fits worst: It fits worst where every call is complex, emotional or highly bespoke. In those cases the honest configuration is AI for triage and booking only, with a human taking everything else, and we will configure it that way rather than pretend.

Honest comparison

A person or the software: three honest differences

A phone answering service staffed by people and an AI one are not the same purchase. These are the three differences that actually decide it.

The best answering service for you depends on which of those three you are actually buying. If it is judgement on every call, hire a person.

How we work

Four stages, in this order

We listen to how your calls actually go before configuring anything, because your team already knows the script.

01

Map

Which calls you miss, when, and what they were worth. This is the arithmetic block, run on your real numbers.

02

Train

Your services, hours, prices, FAQs and booking rules, plus the escalation list.

03

Go live

Number forwarded, calls answered, everything logged from day one.

04

Refine

We listen to real calls weekly and sharpen the answers. This is the step most vendors skip.

What we measure

What you actually get told

Explore all case studies →

Case studies with before and after numbers publish as each client approves them. The work looks like this.

BeforeNow go live

Calls during the working day

A trades business whose calls arrived while every engineer was on a job. Now answered and booked without anyone stopping work.

Evening enquiries

A practice losing evening calls to voicemail. Now captured and confirmed by text before the caller has gone to bed.

Overflow

A business whose calls rang out during busy periods. Now answered simultaneously rather than queued.

Named case studies with verified metrics publish as each client approves them.

Why trust us with your AI

AI that is built right, not just bolted on

Badly configured AI does more damage than no AI, because the customer blames you rather than the software.

Experience

Deployed, not demoed

Live ai answering service deployments running for real service businesses, handling calls from customers who did not know they were part of a pilot.

Expertise

Voice specialists

An ai phone assistant is only as good as what it was taught. The training is the work, and it is where most deployments fail.

Authority

Named and accountable

Led by a named specialist. If your AI receptionist says something wrong, you know whose name is against the configuration.

Trust

Every call readable

Transcripts and recordings you can read, plus a written list of what gets handed to a person. Nothing happens on your line that you cannot review.

Questions people ask about ai receptionist

Will callers know it is not a person?
Some will, most do not ask, and we do not train it to claim otherwise. If a caller asks directly it says so and offers a human. Pretending is the one thing that turns a good experience into a complaint.
What happens if it cannot answer something?
It hands over, following rules written before launch. You choose which topics always go to a person, what happens when a caller asks twice, and where the call goes outside your hours.
Can it book directly into my calendar?
Yes, into the calendar you already use, respecting your real availability rules: job lengths, travel time, which staff do which work, and how much notice you need. A booking system that offers slots you cannot make is worse than none.
Is this cheaper than a human answering service?
Usually, and the gap widens with volume, because human services charge per call or per minute while this does not. The comparison that matters is against your busiest week rather than your average one.
What if I already have a receptionist?
Then it takes overflow and after-hours rather than the main line. The busiest hour of the day and the hours nobody is in are where most missed calls actually happen, and neither is a reflection on the person answering.
How long does setup take?
One to two weeks for most businesses. The time goes into training rather than installation: your services, prices, hours, booking rules and the escalation list all have to be right before it takes a real call.

Priced by call volume and how much the AI handles, and the comparison worth making is against the value of the calls currently missed. How our pricing works.
